AI automation agency, UK and remote

AI automation agency for UK and European B2B firms

JustAutomate is an AI automation agency for B2B companies in the UK, Poland and the DACH region. We map how work actually moves through your company, decide which steps are worth automating and which need an AI agent rather than a plain rule, then build both on the systems you already run. We work with UK clients remotely and in English.

The problem

Why do most automation projects end in a slide deck?

A company buys a tool because someone showed a convincing demo. Three months later the tool sits unused, because nobody checked whether the process it was meant to fit had ever been written down. The team goes back to spreadsheets and the project survives only as a board presentation.

The second version looks like success, which makes it worse. The automation runs, but it handles a step that did not need to exist. You are now paying to do something unnecessary faster.

  • Licence budget spent on a tool one person uses
  • A team that will not hear about the next project after this one
  • Six months on a project that never had a defined outcome

Why now

Why does this pay off today when it did not three years ago?

Connecting a CRM to an ERP used to be a quarter-long project with a budget only large companies could carry. Today almost every system you run has an API or a ready connector, and the layer that joins them is built in days rather than months.

What can be automated has shifted too. A rule moves data, but it cannot make a decision that requires reading text. An AI agent reads an email, an invoice or a meeting note and classifies it the way a person would, so automation now reaches past the form field where it used to stop. When the main job is giving a language model safe access to the CRM, ERP and documents you already run, with a permission scope per system, that is our AI integration services.

That is why work which was uneconomical three years ago now returns within a quarter. Companies did not change. The cost of connecting them did.

What changes

What do you notice after the first month?

  • Reports build themselves

Data arrives from your systems without anyone touching it. Instead of assembling the report, someone simply comments on it.

Figures pulled from the source systems, not retyped

  • Nothing falls between systems

Enquiry, order and invoice travel the same path, and every step leaves a trace.

Data entered once, not three times

  • Every case has a visible status

The state of work lives in the system, not in someone's head or in a mail thread from last week.

One person being away stops being an operational risk

  • Decisions on current numbers

The dashboard shows the state right now, so the meeting is about what is happening today.

Metrics set in the workshop, calculated automatically

Proof

Do you use this yourselves?

Yes, and it is the only proof we can show without asking a client for permission to publish their figures. Two AI agents running in production inside our founders' own companies, both launched in March 2026 and built by the same method described above. Below is six months of measurement, together with what these numbers do NOT prove.

Built for ourselves. These are not client deployments but implementations inside the founders' own companies. We say so plainly, because proof you cannot verify is not proof.

Measurement: Online revenue from the order system against spend across every ad platform, the same months in both years. Cost data in the warehouse starts in February 2025, so we cannot rule out that the ratio was already rising on its own.

And in your company

What if our situation is different?

Four sentences come up most often. All four are fair, and this is how we answer them in the call, before anyone signs anything.

For UK companies the work runs remotely, on video calls with the people who do the process, one hour ahead of London. Personal data is handled under UK GDPR and the ICO guidance on AI and data protection, with the processing terms signed before any data reaches an automation or an agent.

  • Our data is a mess, we would have to clean it up first.

Clean data is usually the outcome of the workshop, not its precondition. We build the pilot on your real data precisely so that you find out what is incomplete in week two rather than in month five.

  • We do not have an IT department.

We take the technical side. After the rollout, someone on your team runs it, trained on the live system rather than on slides. We do not leave behind a system that needs a developer to change one condition.

  • We cannot put company data into an AI model.

The agent reaches into your systems at the moment of the question and answers from what it finds there. The scope of access is agreed beforehand and you decide what it may look at. Nothing is moved into a model permanently.

  • How do we know the answer is right?

Every answer points at the place in the connected system the number came from. Where there is no data, there is no answer. An invented number would be worse in operation than none at all.

How to choose an AI automation agency: six questions before you sign

Lists of the best AI automation agencies compare size, tool badges and logos. These six questions test what actually decides whether automation sticks in your company: how the agency treats your process. They are also the questions we expect to hear from you.

Question to askA good answerWarning sign
What would you automate first, and why that step?A ranking of steps by what they cost you today, taken from a map of your processA tool recommendation before anyone has looked at how the work moves
Which steps need AI and which need a plain rule?Rules wherever the input is structured; an AI agent only where text has to be read, classified or judgedEvery step gets AI, including copying a field from one system to another
Where does our data go, and under which agreement?Named systems, an access scope per system and processing terms under UK GDPR before data movesThe answer stops at the model handles it, without saying where it runs
How will we know it worked?Metrics agreed before the build and measured again on the same definitions after 30 and 90 daysCase studies from other companies instead of a measure for yours
Who can change it after you leave?Your own team, with every flow documented and trained on the live systemChanging one condition needs a ticket to the agency
What if the pilot does not hold up?You stop after the pilot and keep the process map and the planPayment for the full rollout before the pilot has run

A serious agency can answer all six on the first call, without a proposal in hand. If one of our answers does not fit your situation, tell us, and we will say plainly whether we are the right choice.

How we work

JUSTPROCES, four steps

Every AI automation service we deliver runs through the same four steps, and each one ends with something you can judge before the next one starts.

  1. Workshop, 1 to 7 weeks

Map of the current process, bottlenecks ranked by cost, metrics and a 30-day plan.

  2. Pilot, 2 weeks

We build the first automation on your real data, not on a sample. After this you know whether it holds up in your company.

  3. Production, 2 to 4 weeks

Full rollout, team training, monitoring. Your team runs the solution from there.

  4. Return report, after 30 and 90 days

The same metrics as in the workshop, calculated on data from after the change.

How the week changes

What the team does before, and after

Before

  • Monday starts by assembling a report from four sources
  • The status of a case is established by asking whoever owns it
  • Data is entered a second and third time, into the next system
  • One person on holiday stops an entire process

After

  • The report is already there and only needs a comment
  • The status is visible in the system, without asking anyone
  • Data is entered once and the rest happens on its own
  • The process runs regardless of who is at their desk

First changes show 14 days after the workshop, the full picture after 30. We measure the return at 30 and 90 days, on metrics agreed before we start.

For the person signing this off

What you are risking, and what you are not

A technology project that fails to stick costs more than money. It costs the credibility of the person who pushed it through, and closes the subject inside the company for the next two years.

This process is arranged so that the risk sits across stages rather than entirely on your signature at the start.

  • After the workshop you hold a document that stands on its own at board level, even if you go no further
  • The pilot shows a result on your data before the full rollout is decided
  • Metrics are agreed BEFORE we start, so the verdict does not depend on who tells the better story
  • The report at 30 and 90 days is a number, not a presentation

What it costs

How much does an AI automation agency charge?

Agencies price this work in three ways: a fixed price per project, a day rate, or a monthly retainer for building and running automations. Whichever model you are offered, the cost is driven by the same things: how many systems have to be connected, how many exceptions the process has, how clean the data is, and whether a step needs a language model or only a rule.

On top of the build come running costs that are billed to you, not to the agency: the plan of the automation platform (see Zapier pricing or Make pricing) and, where an AI agent reads text, usage of the model provider's API. Ask any agency to list these separately in the quote.

Our process workshop has a fixed weekly price and runs from one to seven weeks depending on scope. We quote the rollout only after the workshop: before the process is mapped, any quote would be a guess, and a guess in a quote is always wrong at one side's expense.

Frequently asked questions

What does an AI automation agency actually do?

It delivers three kinds of work inside specific business processes. First, rule-based automations that move data between systems, built in Make, n8n, Zapier or directly on an API. Second, AI agents for the steps where someone has to read an email, an invoice or a meeting note and decide what happens next. Third, the process work that comes before both: deciding what is worth automating at all. At JustAutomate the third part is the workshop, and it comes first.

How much does an AI automation agency charge?

It depends on the number of systems, the exceptions in the process and whether a step needs a language model. Expect a fixed project price, a day rate or a monthly retainer, plus running costs for the automation platform and the model API. Our workshop costs EUR 3,500 net per week; the rollout is quoted after the workshop, once the process is mapped.

Do you work with UK companies?

Yes. JustAutomate is a Polish AI automation agency and works with UK companies remotely and in English, on the same method we use in Poland and the DACH region. Processing terms under UK GDPR are agreed before any data reaches an automation.

How is this different from hiring a software house?

A software house builds what you order. We first check whether what you want to order solves your problem. Sometimes the workshop ends with a recommendation to build nothing and change how the work is organised instead.

Which companies is this for?

B2B companies where spreadsheets, email and manually chasing statuses act as the operating system. Most often manufacturing and marketing agencies, because their processes repeat and their data sits across several systems.

Do we have to replace the systems we use?

No. Automation means connecting what you already have, not swapping it out. If the workshop shows that one of your systems is a dead end we will say so, but replacing it is not a condition of working together.

How long does it take?

The workshop takes one to seven weeks, the pilot two weeks, the rollout two to four weeks. The first working automation appears 14 days after the workshop and the full rollout takes 4 to 8 weeks.

What do you need from us?

One person who can make decisions and is available during the workshop, access to information about the process, and the ability to talk to the people who run that process daily. System access is only needed at the pilot stage, and only within the scope you agree.

Start with a conversation, not a rollout

The free consultation takes 30 minutes. You describe where work gets stuck, we tell you whether this is a case for a workshop or whether there is a simpler way. If it is simpler, we say so straight away.

We run at most two rollouts at a time. That is not a sales device, it is the condition for someone actually sitting on each of them.

PS. If you are reading this while thinking of one specific report that someone assembles by hand every Monday, that is exactly the case. The workshop ends with a plan you can execute without us.
